Place an Order & Accept a Quote (Manage Declines)

After comparing prices, it's time to make a decision. This article explains how to award the contract to the winning carrier and how to handle the remaining providers professionally and efficiently.


1. Placing the Order (The Winner)

To place an order, navigate to the quote overview for your request: To do this, either click “Compare” in the menu at the top, or select the corresponding reference number in the status overview and click the ‘Compare’ tile on the right. This overview compares all prices, and you'll find the “Place Order” button right next to the quote you want.

Have you decided on a service provider? Click the "Place Order" (Auftrag erteilen) button next to the best offer.

  • Standard Procedure: Email Program (e.g., Outlook) By default, your local email program (e.g., Outlook) will open with a pre-drafted booking email.

    • Advantage: You work within your familiar environment.

Note: If no window opens, please check the default app settings for "Email" in your Windows/browser. Here you'll find the right item

  • New Feature: System-Side Dispatch (Directly from OYASO) Are you experiencing issues with cut-off texts (character limits with mailto:) or does Outlook not open reliably? We can activate direct sending for your account.

    • How it works: Instead of Outlook, a pop-up window opens directly within OYASO. You can see a preview of the email, add a personal message, and click "Send".

    • Your advantage: We bypass the technical 2,000-character limit. Even lengthy loading instructions are transmitted completely.

    • Activation: Would you like to use this feature? Just reach out to our support team briefly—we will gladly enable it for you.


2. Managing Rejections (The Other Providers)

Awarding a contract to one carrier does not automatically trigger rejections to the others. You decide for yourself if and how you want to inform the unsuccessful partners. You have two options for this:

  • Option A: Reject all others (Recommended) Click on the link "Reject all others" (Alle anderen ablehnen) located below the selected offer.

Effect: All other participants in the request receive a rejection simultaneously. This saves you a significant amount of time.

  • Option B: Reject individually You can also manually click "Reject Offer" (Angebot ablehnen) for each individual carrier—for instance, if you want to keep some alternatives open just in case.

Customize the rejection text: Regardless of which option you choose, before the rejection is sent, a window opens allowing you to customize the reason (e.g., "Unfortunately too expensive" or "Date does not fit") before it goes out to the service provider.
