Submitting Offers: Guide for Logistics Service Providers

This article explains the process from the carrier's perspective: How to respond to a freight request and how to submit an offer. The most important thing upfront: Your partners do not need an account, a password, or to register to do this.


1. Receiving & Opening the Email

The process always begins with an email that the carrier receives in their inbox (Subject e.g., "Quote Request: Spot...").

  • Preview: All basic data (origin, destination, packages, deadline) is already visible within the email.

  • Action: Clicking the orange "Details + Submit" button opens the secure offer form directly in the browser.

Alternative: If the service provider does not wish to submit a quote, they can click the "Decline Quote" link directly in the email.


2. Entering the Offer

In the browser window, the carrier now sees the full details and the input fields for their price.

  • Mandatory Fields: All fields outlined in red must be filled out to proceed.

  • Validity: Here, they define how long the price is binding ("Quote valid until") and when the goods can be delivered.

  • Price Entry: The transport costs are entered (e.g., a flat rate "Door -> Door" or split by stages, depending on the request).

  • Attachments: Using the "Add Attachments" field (at the bottom), they can upload their own documents (e.g., Terms & Conditions or detailed quotes) via drag & drop.


3. Submitting the Offer Bindingly

At the end of the form, the total price is summarized once more.

  1. The carrier checks the box for data storage consent (GDPR compliance).

  2. A click on the "SUBMIT/SAVE" button submits the offer bindingly.


4. Confirmation & Subsequent Editing

After clicking, the success message "Quotation submitted successfully" appears. The process is now complete.

However, the link remains active! The carrier still has the following options:

  • PDF Download: By clicking "Download as PDF", they can save a copy of their offer for their own records.

  • Correction: Made a mistake? The offer can be corrected at any time via the "Revise Offer" button—as long as the submission deadline has not yet expired.

Important Security Note (Token Link): Access to the request is granted via a special, encrypted link in the email. Sharing Access: If the carrier wants a colleague to submit the quote instead, they simply need to forward the email to that colleague. Whoever has the link is authorized to write the offer.
