Can I Edit a Sent Request?

One of the most frequent questions from daily shipping operations is: "I just sent a freight request and shortly after realized that the dimensions are wrong or the pickup date has changed. Can I quickly edit the request?"

The short answer is: No. As soon as a request (Spot or Tender) has been sent to your logistics service providers, it is locked in the system and its content can no longer be edited.

Why is this the case? (The Fairness Principle)

This is not a system error, but a deliberate security measure by OYASO. Our goal is to provide all participating service providers with exactly the same basis for their calculations.

Imagine you retroactively change the weight of a shipment from 1,000 kg to 2,000 kg:

  • Carrier A has already submitted their offer for 1,000 kg.

  • Carrier B sees the change and quotes for 2,000 kg.

The result: The prices in your OYASO dashboard would no longer be comparable, leading to subsequent claims that cause frustration and wasted time in daily operations. Modifying a request retroactively would destroy the fairness and transparency of the procurement process.

The Solution: The "Best Practice" Workaround

If you discover an error in a sent request or if the general conditions spontaneously change, proceed as follows:

  1. Close the old request: Open the faulty request and cancel or close it. (Optionally, you can briefly inform the carriers via the chat function: "Please ignore, corrected request will follow shortly").

  2. Duplicate the request: Use the copy function. Go to the old request in the overview and click "Copy" (or "Request again").

  3. Adjust the data: OYASO now transfers all the data from the old request into a new input mask. Here you can easily correct the weight, the date, or the addresses.

  4. Resend: Send the corrected request. This ensures all service providers once again have the same, correct requirements.

Pro-Tip: Thanks to the pre-filled data, duplicating usually takes only a few seconds and is the cleanest and safest way to manage your orders!
