Requesting Fixed Prices & Excel Upload (The Process for Carriers)

How do fixed annual prices or tariffs get into the system? In OYASO, you don't upload them yourself; instead, you request them digitally from your Logistics Service Providers (LSPs). The carrier fills out the prices themselves using an intelligent Excel template.

This article explains the workflow from the carrier's perspective so you can support your partners if they have any questions.


Step 1: Access via Email Invitation

The process starts exactly like a spot request. Your carrier receives an email notification requesting them to submit their tariffs.

  • They click the "Details + Submit quote" button in the email.

  • No login is required ("Magic Link").


Step 2: Activate Excel Mode

The carrier lands on the quote submission screen. Since price lists often contain hundreds of routes, manual entry can be tedious.

  • The carrier scrolls down to the "Freight" section.

  • There, they switch from the "Manual Input" tab at the top to "Excel Upload".


Step 3: Configure & Download the Template

Before the download starts, the carrier must make two basic settings so the template fits perfectly:

  • Currency: In which currency will the quote be submitted (e.g., Euro)?

  • Calculation basis: (e.g., "per shipment / scaled by kg").

  • Afterward, they click "Download now" (arrow icon).


Step 4: Fill Out the Excel File (The Rules)

The carrier opens the file locally. The following ground rules apply:

  • Do not change: The first rows (Departure / Destination) and the grey header rows must not be altered. They ensure that OYASO assigns the prices to the correct routes later on.

  • Customizable: The weight brackets (left column) can be adjusted or expanded by the carrier (e.g., extending the scale up to 20,000 kg).

  • Enter prices: The carrier enters their prices into the corresponding cells.


Step 5: Upload & Unquoted Routes (IMPORTANT)

After saving, the carrier drags and drops the file back into the "Upload and check" field.

Attention with empty fields (Unquoted routes): > If the carrier cannot service a route from the Excel list, they usually leave the cells in the spreadsheet blank.

The Problem: The system expects a price for every requested route. As long as a price is missing, the button to submit the offer remains disabled (unclickable).

The Solution: The carrier must scroll to the respective route in the system and explicitly reject it (e.g., via the "Decline route" button or the "X" on the route card).

Only when all routes either have a price or have been officially rejected will the "Submit" button be enabled.
