Creating and Sending a Spot Request
From transport mode to sending the request to your carriers.
A spot request collects a price for a single shipment. You enter the shipment, select your carriers, and send. It takes four steps.
Choose request type and transport mode
- Click Request transport quote.
- Select Spot as the request type.
- Choose the transport mode: air freight, sea freight as container or LCL, or road freight.
- Define the transport legs. For sea, air, and rail you use checkboxes to request pre-carriage, main carriage, and on-carriage. Road transports usually run door to door. → Requesting individual transport legs
- Select Import customs clearance or Transport insurance if you need them.
Upload a document instead of typing
An upload field sits below the additional options. Drag your delivery note or packing list into it, or click the field to select a file.
OYASO reads the document and pre-fills the shipment data in the next step. This works for every transport mode.
Enter shipment data and deadlines
- If you uploaded a document, packages, dimensions, weights, and addresses are already filled in. Check the values.
- Enter the number, dimensions, and weight of your packages. The system calculates volume and chargeable weight. → Chargeable weight and volume
- Enter the origin and destination address. For sea and air freight, add the ports or airports.
- Select the Incoterm, for example DAP or EXW.
- Set the offer deadline and the pickup date. The offer deadline determines how long prices can come in.
- Enter special loading instructions in the text field, such as "not stackable" or "forklift licence required".
If you stored a default text in your settings, it already appears here. → Adjusting master data and email templates
Select your carriers
- Select your carriers from the list using the checkboxes. Use the filters to narrow the list, for example by transport mode.
- If a carrier is missing, enter their email address at the top and click Add. They appear in the list immediately and receive the request.
Review and send
- Adjust the subject line and the message. → Formatting the message text
- Check the summary on the right. It shows the request exactly as your carriers will receive it.
- Click Send.
The request moves from Drafts to Open Requests. Your carriers receive the email immediately.
If you spot a mistake after sending
A sent request cannot be changed. → Can I still change a request after sending it?
