Activity Overview & History: Full Transparency for Your Processes
OYASO provides two levels of logging to ensure you can trace exactly what has happened in your account at any time, in an audit-proof manner. You can monitor the global activities of your entire team as well as view the detailed history of a single, specific freight request.
1. The General Activity Overview (Client Level)
This report serves as the central "logbook" (audit trail) for your entire account. It answers the question at a glance: Who did what in the system, and when?
Important Note on Availability: > The tenant-wide account activity log is a premium feature and is available to you starting from the Professional plan.
-
Access: Click on "Reports" (Berichte) in the main menu and select "Activity Overview" (Aktivitätsübersicht).
-
Content: Here you will find a chronological list of all actions in the system (e.g., "User X created request Y", "Settings were changed by User Z"). This ensures maximum audit compliance and transparency, especially in larger teams.
2. The Activity Feed (Request Level)
Regardless of your plan, there is a specific history for every single spot or rate request. This shows you exactly what happened with that concrete shipment.
-
Access: Open any request (Spot or Rate). On the left side, you will directly see the history (the Timeline).
-
What is logged? The system automatically documents all important milestones here without any action on your part, such as:
-
When the request was created or sent.
-
If and when a carrier viewed the request (read receipt).
-
When automatic reminder emails were sent to service providers.
-
When the request was officially closed or an order was awarded.
-
3. Using Internal Comments
Within the activity feed of a specific request, you also have the option to leave messages for your own team.
-
Function: Use the "Add internal comment" (Internen Kommentar hinzufügen) field at the bottom of the feed to document important notes, phone agreements, or reasons for awarding a contract.
-
Visibility (IMPORTANT): These comments are strictly confidential and only visible to users within your own company! The requested logistics service providers (carriers) can never see these internal notes.
